Terms and Conditions

These are the terms that govern your booking with Everest Trekking Company. We have written them in plain language so you know exactly where you stand before you book, while you are on the trail, and if anything changes. Read them once and you will not need to read them again.

Booking and Confirmation

We do not charge any booking fee or advance payment to secure your spot. Booking with us is free. Simply send us your trip inquiry and we will confirm your place with a written confirmation by email within 24 hours. No deposit, no upfront charge, no hidden fee at the time of booking.

Full payment is collected on arrival in Kathmandu before the trek begins. We accept payment by bank transfer, credit card, PayPal, or cash in USD. If paying by bank transfer, any transfer fees are the responsibility of the traveller.

We are one of the very few trekking companies in Nepal that does not require any advance payment at the time of booking. We trust you, and we earn that trust by delivering the trip exactly as described.

What Is Included

All trips include exactly what is listed on the trip page. Standard inclusions for our Everest Base Camp trek are: airport pick up and drop off, accommodation in Kathmandu before and after the trek (as specified per trip), all accommodation on the trail, all meals on the trail (breakfast, lunch, and dinner), a licensed trek leader, a porter for every two trekkers, all trekking permits and TIMS card, a domestic flight from Kathmandu to Lukla and return, and a trip completion certificate.

If something is listed on your trip page, it is included. If it is not listed, it is not included. We do not add charges after you arrive.

What Is Not Included

Items not included in the trip price are: international flights to and from Nepal, Nepal visa fees (currently USD 30 for 15 days or USD 50 for 30 days, paid on arrival at the airport), travel insurance, personal gear and clothing, tips for guides and porters (optional but appreciated), personal snacks and drinks beyond included meals, and costs arising from trip changes due to events outside our control such as flight delays, weather, or illness.

Cancellation by You

Life happens. If you need to cancel, just let us know at least 2 weeks (14 days) before your departure date and there is no cancellation charge from our side. Because we do not take any advance payment, there is nothing to forfeit if you cancel with 14 or more days notice.

If you cancel less than 14 days before departure, we may charge for costs already incurred on your behalf that cannot be recovered, such as domestic flight tickets and trekking permits already purchased. We will be fully transparent about what those costs are before we charge anything.

Cancellation must be sent in writing to info@everesttrekkingcompany.com. We recommend travel insurance that covers trip cancellation, particularly for flights and accommodation booked independently.

Cancellation or Changes by Us

We rarely cancel a confirmed departure. If we cancel due to circumstances within our control, we will offer you a full refund or transfer to a future departure at no extra charge. If we cancel due to circumstances outside our control (natural disaster, government restriction, trail closure, or similar), we will refund all costs we can recover from our suppliers and be transparent about anything that cannot be returned.

If bad weather forces a route change on the trail, we find the best available alternative. We do not refund the difference for a shorter or different route when the change is made for safety reasons.

Travel Insurance

Travel insurance with helicopter evacuation and emergency medical cover is required for all trekkers. This is not optional. Altitudes above 5,000 m carry real medical risks including altitude sickness. A helicopter evacuation from Everest Base Camp to Kathmandu can cost USD 3,000 to USD 6,000 and you would be responsible for that cost without insurance.

Your policy must cover trekking above 5,000 m. Before departure, share your insurance provider name and policy number with us during your pre-departure briefing.

Your Fitness and Health

The Everest Base Camp trek reaches 5,364 m above sea level. You must be in good physical health and have a reasonable level of fitness. If you have a pre-existing medical condition, consult your doctor before booking and let us know when you make your reservation.

Our guides make safety decisions on the trail. If a guide determines that continuing is unsafe for you or the group, you may be asked to descend or rest at a lower altitude. These decisions are not subject to negotiation. We always act in the interest of your safety.

Altitude Sickness and Medical Situations

Altitude sickness can affect any trekker regardless of fitness. If you show symptoms that our guide considers serious, you will be required to descend immediately. In a medical emergency requiring evacuation, we coordinate the rescue and contact your insurance provider. Evacuation costs are covered by your travel insurance, not by Everest Trekking Company.

Our Responsibility

Everest Trekking Company is responsible for delivering the services described on your trip page and in your booking confirmation. We are responsible for the conduct of our staff and the quality of the services we arrange directly.

We are not responsible for events outside our control including weather delays, government actions, civil unrest, natural disasters, airline cancellations, or third party accommodation and transport providers. We are not responsible for loss or damage to personal belongings on the trail.

Itinerary Changes on the Trail

The itinerary on our trip pages is what we aim to follow. Weather, trail conditions, and group health may require us to adjust the route, timing, or pacing. Our guides have the authority to make these calls. We always communicate changes clearly and aim to deliver the best possible experience within whatever conditions we face.

Complaints

If something goes wrong during your trip, tell your guide or trek leader immediately. Most issues can be resolved on the spot when raised early. If you are not satisfied with how an issue was handled, contact us at info@everesttrekkingcompany.com within 14 days of returning. We will respond within 7 business days.

Governing Law

These terms are governed by the laws of Nepal. Any disputes that cannot be resolved by direct communication will be referred to the courts of Kathmandu, Nepal.
